# QRG Create Notification Settings - Expense Claim

## Purpose

The purpose of this quick reference guide is to step through the process of creating Expense Claim
Notification Settings. The intended audience for this document is System Administrators/Standard Users.

## Steps

### Create Expense Claim Notification Settings

To create Notification Settings, follow the steps below:

1. Click on the **App Launcher** icon (see Figure 1).
2. Go to the **Notification Settings** object by using the Search function (see Figure 2).
3. Click on the **New** button (see Figure 3).

4. Select the **Expense Claim** Record Type and click on the **Next** button (see Figure 4).

5. Populate the following required fields to provide the base details of the Notification Settings: (see
   Figure 5)
   1. **Notification Setting Name**
   2. **Effective Date**
   3. **Description**
   4. **Notification From Email Address**
   5. **Employee Reminder Email**
   6. **Auto Send Employee Reminder**
   7. **Employee Reminder Repeat?**
   8. **Employee Approved Email**
   9. **Auto Send Employee Approved**
6. Populate the following optional fields as needed: (see Figure 5)
   1. If Auto Send Employee Reminder is populated with a # Days picklist value, define the
      count of days after a specified time for the reminder to be sent in the Employee
      Reminder Day Count field.
   2. If Auto Send Employer Reminder is populated with an On A Defined Day picklist value,
      define the day of the week reminders will be sent in the **Employee Reminder Week Day** field.
   3. If Auto Send Employer Reminder is populated with an On A Defined Day picklist value,
      define the time of the day reminders will initiate sending, in the **Employee Reminder Time** field.

<Warning>
  Notification Setting records currently only have limited functionality as they are still
  being developed. The automated reminders on set day, time or day count currently do
  not work.

7. Populate the following required fields to provide the base details of the Notification Settings: (see
   Figure 6)
   1. **Employee Rejected Email**
   2. **Auto Send Employee Rejected**
   3. **Employee Rejection Repeat?**
   4. **P.Approver Approval Request Email**
   5. **Auto Send P. Approver Approval Request**
   6. **P. Approver Approval Reminder Email**
   7. **Auto Send P. Approver Approval Reminder**
   8. **P. Approver Reminder Repeat?**
8. Populate the following optional fields as needed: (see Figure 6)
   1. If Auto Send P.Approver Approval Requests is populated with a # Days picklist value,
      define the count of days after a specified time when requests will be sent in the **P Approver Request Day Count** field.
   2. If Auto Send P.Approver Approval Requests is populated with On A Defined Day picklist
      value, define the day of the week Expense Claim requests will be sent in the **P Approver Request Week Day** field.
   3. If Auto Send P.Approver Approval Requests is populated with an On A Defined Day
      picklist value, define the time of the day Expense Claim requests will initiate sending in
      the **P. Approver Request Time** field.
   4. If Auto Send P.Approver Approval Reminder is populated with # Days picklist value,
      define the count of days after a specified time to send the reminder in the **P Approver Reminder Day Count** field.
   5. If Auto Send P.Approver Approval Reminder is populated with an On A Defined Day
      picklist value, define the day Expense Claim Approval reminders will be sent in the **P Approver Reminder Week Day** field.
   6. If Auto Send P.Approver Approval Reminder is populated with an On A Defined Day
      picklist value, define the time of the day reminders will initiate sending in the **P. Approver Reminder Time** field.

9. Populate the following required fields to provide the base details of the Notification Settings: (see
   Figure 7)
   1. **A. Approver Approval Request Email**
   2. **Auto Send A. Approver Approval Request**
   3. **A. Approver Approval Reminder Email**
   4. **Auto Send A. Approver Approval Reminder**
   5. **A. Approver Reminder Repeat?**
   6. **P. Approver Approved By Other Email**
   7. **Auto Send P. Approver Approved By Other**
   8. **P. Approver Rejected By Other Email**
   9. **Auto Send P. Approver Rejected By Other**
10. Populate the following optional fields as needed: (see Figure 7)
    1. If Auto Send A.Approver Approval Request is populated with a # Days picklist value,
       define the count of days after a defined time when requests will be sent, in the **A Approver Request Day Count** field.
    2. If Auto Send A.Approver Approval Request is populated with an On A Defined Day picklist
       value, define the day Expense Claim requests will be sent in the **A Approver Request Week Day** field.
    3. If Auto Send A.Approver Approval Request is populated with an On A Defined Day picklist
       value, define the time of the day requests will initiate sending in the **A. Approver Request Time** field.
    4. If Auto Send A. Approver Approval Reminder is populated with a # Days picklist value,
       define the count of days after a defined time to send reminder in the **A Approver Reminder Day Count** field.
    5. If Auto Send A. Approver Approval Reminder is populated with an On A Defined Day
       picklist value, define the day reminders will be sent in the **A Approver Reminder Week Day** field.
    6. If Auto Send A. Approver Approval Reminder is populated with an On A Defined Day
       picklist value, define the time of the day reminders will initiate sending in the **A. Approver Reminder Time** field.

11. Populate the following required fields to provide the base details of the Notification Settings: (see
    Figure 8)
    1. **P.Approver Approved On Behalf Email**
    2. **Auto Send P.Approver Approved On Behalf**
    3. **P.Approver Rejected On Behalf Email**
    4. **Auto Send P.Approver Rejected On Behalf**
    5. **Support Contact Name**
    6. **Support Contact Details**
12. Click on the **Save** button.

13. A new Notification Settings record has been created (see Figure 9).

<Danger>
  Notification Setting records CAN NOT be deleted if they have related records or are
  used in other records. Deleting records is not recommended unless absolutely
  essential.

14. To modify an existing **Notification Settings** record, open the required record and select
    the Edit button available on the top right side of the page. You can also double click
    within fields that need editing or just click on the pencil icon that appears within
    fields when hovering with your cursor.
15. When complete, click on the **Save** button.

## Field Descriptions

**A. Approver Approval Reminder Email** defines the Email Template that will be used when sending the
Alternative Approver a Reminder for Approval.
**A. Approver Approval Request Email** defines the Email Template that will be used when sending the
Alternative Approver a Request for Approval.
**A Approver Reminder Day Count** is used to add the count of days as a defined time after which the
reminder will be sent.
**A. Approver Reminder Repeat?** defines if the reminder will automatically repeat sending until Approved
or Rejected and, if so, how often.
**A. Approver Reminder Time** defines the time of the day reminders will initiate sending.
**A Approver Reminder Week Day** defines the day of the week that weekly and fortnightly reminders will
be sent.
**A Approver Request Day Count** is used to add the count of days as a defined time after which the
requests will be sent.
**A. Approver Request Time** defines the time of the day requests will initiate sending.
**A Approver Request Week Day** defines the day of the week that weekly and fortnightly requests will be
sent.
**Auto Send A. Approver Approval Reminder** defines if the email notification will be sent automatically
and, if so, how it will be sent.
**Auto Send A. Approver Approval Request** defines if the email notification will be sent automatically and,
if so, how it will be sent.
**Auto Send Employee Approved** defines if the email notification will be sent automatically and, if so, how
it will be sent.
**Auto Send Employee Rejected** defines if the email notification will be sent automatically and, if so, how
it will be sent.
**Auto Send Employee Reminder** defines if the email notification will be sent automatically and, if so, how
it will be sent.
**Auto Send P. Approver Approved By Other** defines if the email notification will be sent automatically
and, if so, how it will be sent.
**Auto Send P.Approver Approved On Behalf** defines if the email notification will be sent automatically
and, if so, how it will be sent.
**Auto Send P. Approver Approval Reminder** defines if the email notification will be sent automatically
and, if so, how it will be sent.
**Auto Send P. Approver Approval Request** defines if the email notification will be sent automatically and,
if so, how it will be sent.
**Auto Send P. Approver Rejected By Other** defines if the email notification will be sent automatically and,
if so, how it will be sent.
**Auto Send P.Approver Rejected On Behalf** defines if the email notification will be sent automatically
and, if so, how it will be sent.
**Description** defines a short description that can be used to help identify the setting on list views and
related lists.
**Effective Date** defines the date the Notification Setting will come into effect.
**Employee Approved Email** defines the Email Template that will be used when sending Employee
notification of an Approval.
**Employee Rejected Email** defines the Email Template that will be used when sending Employee
notification of a Rejection.
**Employee Rejection Repeat?** defines if the Rejection notification will automatically repeat sending until
Submitted or Cancelled and, if so, how often.
**Employee Reminder Day Count** is used to add the count of days as a defined time after which the
reminder will be sent.
**Employee Reminder Email** defines the Email Template that will be used when sending Employee
Reminder to Submit.
**Employee Reminder Repeat?** defines if the reminder will automatically repeat sending until Submitted
or Cancelled and, if so, how often.
**Employee Reminder Time** is used to add the time of the day reminders will initiate sending if On A
Defined Day is selected.
**Employee Reminder Week Day** is used to add the day of the week reminders will be sent if On A Defined
Day is selected.
**Notification From Email Address** defines the email address notifications will be sent from when using
the Notification Setting.
**Notification Setting Name** is the name given to the Notification Setting record that is being created.
**P. Approver Approval Reminder Email** defines the Email Template that will be used when sending the
Primary Approver a Reminder for Approval.
**P.Approver Approval Request Email** defines the Email Template that will be used when sending the
Primary Approver a Request for Approval.
**P. Approver Approved By Other Email** defines the Email Template that will be used when sending the
Primary Approver a Notification that an Approval was completed by another Approver.
**P.Approver Approved On Behalf Email** defines the Email Template that will be used when sending the
Primary Approver a Notification that an Approval was completed on their behalf.
**P. Approver Rejected By Other Email** defines the Email Template that will be used when sending the
Primary Approver a Notification that a Rejection was completed by another Approver.
**P.Approver Rejected On Behalf Email** defines the Email Template that will be used when sending the
Primary Approver a Notification that a Rejection was completed on their behalf.
**P Approver Reminder Day Count** is used to add the count of days as a defined time after which the
reminder will be sent.
**P. Approver Reminder Repeat?** defines if the reminder will automatically repeat sending until Approved
or Cancelled and, if so, how often.
**P. Approver Reminder Time** is used to add the time of the day reminders will initiate sending if On A
Defined Day is selected.
**P Approver Reminder Week Day** is used to add the day of the week reminders will be sent if On A
Defined Day is selected.
**P Approver Request Day Count** is used to add the count of days as a defined time after which the
requests will be sent.
**P. Approver Request Time** defines the time of the day Approval Requests will initiate sending if On A
Defined Day is selected.
**P Approver Request Week Day** is used to add the day of the week Approval Requests will be sent if On A
Defined Day is selected.
**Support Contact Name** is used to add the name of the Support Contact that will be defined on the email
notifications.
**Support Contact Details** is used to add the contact details for the Support Contact that will be defined
on the email notifications.
