# QRG Creating and Maintaining Public Holiday Calendars

## Purpose

The purpose of this quick reference guide is to step through the process of creating Public Holiday
Calendars & Calendar Periods. The intended audience for this document is System Administrators.

## Steps

### Create a Public Holiday Calendar

To create a Public Holiday Calendar record, follow the steps below:

3. Click on the **New** button (see Figure 3).

4. Choose the record type of **Public Holiday** (see Figure 4).
5. Click **Next.**

6. Populate the following required fields to provide the base details of the Public Holiday Calendar
   record (see Figure 5):
   1. **Name**
   2. **Start Date**
7. Populate the following optional fields as needed:
   1. To make this Calendar active for a limited time, populate the **End Date** field.
   2. To prevent the Status of the Public Holiday Calendar from being automatically updated
      by the automatic status update scheduled job, tick the **Exclude From Auto Update**
      checkbox.
8. Click on the **Save** button.

9. A new Public Holiday Calendar record has been created (see Figure 6).

10. To modify an existing **Public Holiday Calendar** record, open the required record and
    select the **Edit** button available on the top right side of the page. You can also double click in any of the
    fields that need editing, or just click on the pencil icon <InlineImage src="/images/icons/qrg-creating-and-maintaining-public-holiday-calendars-inline-2-1.png" alt="Inline icon" /> that appears within fields when
    you move your cursor over the field.

11. When complete, click on the **Save** button.

<Danger>
  Public Holiday Calendar records CANNOT be deleted if they have related records or are used in other
  records. Deleting records is not recommended unless absolutely essential.
</Danger>

<Warning>
  Users can take advantage of the new Clone Public Holiday Calendar functionality that
  allows the cloning of existing Public Holiday Calendars as a basis for regional Public
  Holidays, saving time without the need to manually create or data load them. To learn
  more about this functionality, please refer to the QRG Clone a Public Holiday Calendar.

### Create Public Holiday Calendar Periods

To create Public Holiday Calendar Periods within this Calendar record, follow the steps below:

1. Scroll down to the Periods panel on the Public Holiday Calendar record and click on the **New**
   button (see Figure 7).

2. Choose the record type of **Public Holiday** (see Figure 8).

3. Click **Next.**

4. Populate the following required fields to provide the base details of the Public Holiday Calendar
   Period record (see Figure 9):
   1. **Name**
   2. **Start Date**
   3. **End Date**
   4. **Start Time**
   5. **End Time**

5. Click on the **Save** button.

<Warning>
  The Start Time and End Time fields are currently only considered for Timesheet Entries
  against Interpretation Rules. For autopay Assignments, the whole day will be applied
  as a public holiday even if the Calendar Period is detailed as a part-day public holiday.
  To apply only a part-day Public Holiday, adjustments will need to be made within the
  Adjustments screen of the Pay Batch Manager. If the fields are left blank, the public
  holiday will apply for the whole day.

6. A new Public Holiday Calendar Period record has been created (see Figure 10).

## Field Descriptions

| Field Name                       | Description                                                                                                                                                                                                    |
| -------------------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **End Date**                     | is the last date in the validity range of this Calendar, but for the Calendar Period, it's the date the public holiday applies to it.                                                                          |
| **End Time**                     | allows for a defined time to cease the application of the public holiday rule for that day, providing the ability to interpret part-day public holidays. This is applicable only for Timesheet Entries.        |
| **Exclude From Auto** **Update** | (checkbox) When this box is checked, the record will be skipped by the Automatic Status Update scheduled job.                                                                                                  |
| **Name**                         | is the name given to the Calendar record that is being created.                                                                                                                                                |
| **Start Date**                   | is the first date in the validity range of this Calendar, but for the Calendar Period, it's the date the public holiday treatment applies.                                                                     |
| **Start Time**                   | allows for a defined start time to commence the application public holiday treatment for that day, providing the ability to interpret part-day public holidays. This is applicable only for Timesheet Entries. |
| **Status**                       | is the current status of this record based on the Effective Date and Expiry Date.                                                                                                                              |
