# QRG Create Pay Rate Loadings

## Purpose

The purpose of this quick reference guide is to step through the process of creating Pay Rate Loading
records. The intended audience for this document is Standard Users.

The Pay Rate Loading record is used to define rates for Casual Loading and Shift Loading. Casual Loading
and Shift Loading are used when the Pay Rate requires these additional loading rates to be applied to the
base Pay Rate and therefore remain separated from the base Pay Rate, for reporting on GL journals, as
well as for separation of reporting on Pay Advices, etc.

## Steps

**Create a Pay Rate Loading record**

To create a Pay Rate Loading record, follow the steps below:

    2. Go to the **Pay Rate Loadings** object by
       using the Search function (see Figure 2).

3. Click on the **New** button (see Figure 3).

4. Select from the available record types and click on the **Next** button (see Figure 4).

  *The Shift Loading record type does not have any functionality within the Minimum Pay Rate or Rates*
  *Automation functionality.*

5. Populate the following required fields to provide base details of the Pay Rate Loading record (see
   Figure 5):
   1. To set the date this record is active, populate the **Effective Date** field.
   2. To define how the Loading Rate should be calculated, select from the following picklist
      options in the **Loading Based On** field:
      1. To calculate the Loading Rate as a percentage of the related Base Pay Rate, select **% of Base Pay Rate.**
      2. To calculate the Loading Rate as a percentage of the related Base Pay Rate, and
         multiply by the related Pay Code Multiplier, select **% of Multiplied Pay Rate** .
      3. To define the Shift Rate as the Loading Rate, multiplied by the Pay Rate in the
         related Assignment Rate, select **Shift Loaded Pay Rate** .
      4. To calculate the Loading Rate as a fixed dollar amount, select **Fixed Amount** .
      5. To calculate the Loading Rate as a percentage added to the related Base Pay
         Rate, select **Addition of % of Base Pay Rate**, which is only used with the MPR
         functionality.
   3. To set the rate to use when calculating Loading, populate the **Loading Rate** field with a numeric value.

6. Populate the following optional fields as needed (see Figure 5):
   1. To set an expiry date for the Loading record, populate the **Expiry Date** field.
   2. To define an Interpretation Rule for this Pay Rate Loading record, populate the
      **Interpretation Rule** field.
   3. If utilising the Pay Rate Loading in conjunction with the Rate Calculator functionality,
      populate the **Assignment Handling** field by selecting from the available picklist options:
      1. To allow the Pay Rate Loading defined to be applied to existing and new Rate
         Calculator records, select **Fixed** .
      2. To restrict the defined Pay Rate Loading from being applied to existing Rate
         Calculator Records, so that only new Rate Calculators may use it, select **Rolling** .

7. Click on the **Save** button.

  *The two picklist values, Shift Loaded Pay Rate and Addition of % of Base Pay Rate in the field Loading*
  *Based On, are not used with the General Ledger function. Selecting these options when using within*
  *the Rate Calculator will result in a \$0 value being calculated against the Pay Rate Loading record.*

  *The Assignment Handling field is only used for Rate Calculator functionality, and has no application*
  *to Minimum Pay Rate records or Update Rates automation.*

A new **Pay Rate Loading** record is now created (see Figure 6).

<Danger>
  Pay Rate Loading record CAN NOT be deleted if they have related records or are used in other records. Deleting records is not recommended unless absolutely essential.

8. To modify an existing **Pay Rate Loading** record, open the required record and select the **Edit**
   button available on the top right side of the page. You can also double click within fields that
   need editing or just click on the pencil icon <InlineImage src="/images/icons/pencil-icon.png" alt="Inline icon" /> that appears within fields when hovering with
   your cursor.
9. When complete, click on the **Save** button.
