Purpose

The purpose of this quick reference guide is to step through the process of creating Timesheet Activity Project Codes. The intended audience for this document are system administrators / standard users.

Steps

Create a Timesheet Activity Project Code record

Timesheet Activity Project Codes are used to identify on a Timesheet Entry time that relates to a particular task detailed in an Interpretation Rule, and that therefore may require a specific pay rate (or charge rate). There are three Timesheet Activity Project Code record types:
  • Timesheet Activity - Template Level - The Timesheet Activity Template Level Project Code is used to create a Template for task specific Timesheet activities during the Interpretation process.
  • Timesheet Activity - Client Level - The Timesheet Activity Client Level Project Code is used for task specific Timesheet activities during the Interpretation process, specific only to that Client.
  • Timesheet Activity - Assignment Level - The Timesheet Activity Assignment Level Project Code is used for task specific Timesheet activities referenced during the Interpretation process, available at an Assignment level.
Create a Timesheet Activity Project Code by following the below steps:
  1. Click on the App Launcher icon (see Figure 1).

  1. Go to the Project Codes object by using the Search function (see Figure 2).

  1. Click on the New button (see Figure 3).

  1. Select one of the Timesheet Activity record types from the available record types, and click on the Next button (see Figure 4).

  1. If the Timesheet Activity - Template Level record type was selected, follow this step in the sequence given below:
    1. Populate the following required fields to provide the base details of the Project Code (see Figure 5):
      1. Project Code Name
      2. Status
    2. To define how the Interpretation should be completed for Timesheet Activities related to this Project Code, populate one of the following fields:
      1. To determine the Breakpoint Type that should be used during Timesheet Interpretation related to this Project Code, select from the available picklist values in the Interpretation Breakpoint Type field. OR
      2. To set up the Timesheet Activity as an Interpretation Variation, select ‘Yes’ from the picklist values available in the Is an Interpretation Variation? field.
        • If ‘Yes’ is selected, users must identify a Variation Type from the picklist values available in the Variation Type field.
  2. Click on the Save button (see Figure 5).

  1. If the Timesheet Activity - Client Level record type was selected, follow this step in the sequence given below:
    1. Populate the following required fields to provide the base details of the Project Code (see Figure 6):
      1. Project Code Name
      2. Client
      3. Status
    2. To define how the Interpretation should be completed for Timesheet Activities related to this Project Code, populate one of the following fields:
      1. To determine the Breakpoint Type that should be used during Timesheet Interpretation related to this Project Code, select from the available picklist values in the Interpretation Breakpoint Type field. OR
      2. To set up the Timesheet Activity as an Interpretation Variation, select ‘Yes’ from the picklist values available in the Is an Interpretation Variation? field.
        • If ‘Yes’ is selected, users must identify a Variation Type from the picklist values available in the Variation Type field.
  2. Click on the Save button (see Figure 6).

  1. If the Timesheet Activity - Assignment Level record type was selected, follow this step in the sequence given below:
    1. Populate the following required fields to provide the base details of the Project Code (see Figure 7):
      1. Project Code Name
      2. Client
      3. Assignment
      4. Status
    2. To define how Interpretation should be completed for Timesheet Activities related to this Project Code, populate one of the following fields:
      1. To determine the Breakpoint Type that should be used during Timesheet Interpretation related to this Project Code, select from the available picklist values in the Interpretation Breakpoint Type field. OR
      2. To set up the Timesheet Activity as an Interpretation Variation, select ‘Yes’ from the picklist values available in the Is an Interpretation Variation? field.
        • If ‘Yes’ is selected, users must identify a Variation Type from the picklist values available in the Variation Type field.
  2. Click on the Save button (see Figure 7).

A new Timesheet Activity Project Code has been created (see Figure 8).

Project Codes CAN NOT be deleted if they are used in other records. Deleting records is not recommended unless absolutely essential.
A Project Code record can only be edited if it has not already been referenced within Pay Transactions that are processed in a Pay Batch, or have been Invoiced.
  1. To modify an existing Timesheet Activity Assignment Level Project Code record, open the required record and select the Edit button available on the top right side of the page. You can also double click in any of the fields that need editing or just click on the pencil icon that appears within fields when you move your cursor over the field.
  2. When complete, click on the Save button.

Field Descriptions

Assignment is the specific Assignment this Project Code will apply to. Client is the specific Client this Project Code will apply to. Interpretation Breakpoint Type is used to specify the Interpretation type for specific shifts related to this Project Code. Is an Interpretation Variation? is used to configure any Timesheet Activities created in association with this Project Code as Interpretation Variations. Variation Type defines the Interpretation Variation Type that applies to any Timesheet Activities created in association with this Project Code. Project Code Name is the name assigned to the Project Code record. Status is the Status of the Project Code.
